Summary

The Medical Secretary provides support within a clinical department with primary responsibility for scheduling and managing appointments, conducting outreach calls, sending letters on behalf of the clinician, as well as processing prescription refill requests, and any other clerical tasks as needed. Delivers excellent customer service and strengthens the patient/clinician relationship. Works to improve clinical operations through coordination of contact between team clinicians and patients.

Primary Job Responsibilities and Duties:

  • Schedules patient visits based on department standard work.

  • Answers and routes calls as appropriate.

  • Greets and communicates with patients via phone or in-person in a courteous and professional manner.

  • Follows organizations and departmental standard work for communication with patients and providers.

  • Generates clear, concise, complete and professional messages in the patient's medical record. Documents appropriate and accurate information.

  • Performs a variety of related clerical tasks such as filing, managing incoming and outgoing faxes, obtaining medical records from hospitals, preparation of outgoing mailings and scheduling of external tests or appointments as appropriate.

  • Informs and updates Supervisor on departmental issues or concerns, and offer suggestions to improve workflows and efficiency.

  • Participates in department meetings, organizational initiatives, and quality improvement activities as requests.

  • Adheres to all HIPAA privacy and security policies and practices. Reports violations and incidents they observe and cooperates in investigations as requested by management.

  • Regular and reliable attendance in accordance with departmental needs and organizational policies. Demonstrates flexibility in work hours based on the needs of the department.

Education:

  • High School Diploma or equivalent is required (e.g. GED, HiSET, TASC Test).

  • Associate's degree in medical assisting or graduate of certification in medical office administration program preferred.

  • A bachelor's or other non-clinical degree combined with an interest in healthcare and excellent problem-solving, multi-tasking, technology-literate skill sets can at times be substituted for medical office administration program certification or work experience.

Skills and Experience:

  • Experience within a medical office strongly preferred.

  • Strong interpersonal, customer service, time management, and organization skills required.

  • Computer experience required with the ability to use Word Processing. Electronic medical record (EMR) experience and/or aptitude to master EMR based on other technology experience required.

  • Must have the ability to work well with others in a very busy, close environment as well as independently with minimal supervision. Shows receptivity to message being delivered. Demonstrates flexibility and working in a collaborative manner. Responds to information and situations in a tactful and self-controlled manner. Maintains a calm composed manner during stressful times.

  • Imparts information both verbally and in writing in a clear manner by sharing the appropriate amount and content of information so that it is understood by the intended audience.

  • Builds effective relationships with internal and external customers; identifies customer expectations and sees issues from their point of view; offers practical recommendations. Looks for ways to build positive relationships on the work team. Demonstrates trust and respect for others.
